Use of email / How To Set Up Email Filtering in Gmail

Dear all,
For setting up email filters or organizing your emails into folders is an efficient way to manage your emails. You might want to know how to set up email filters to automatically sort your email into folders for better management.

For example, you may want to have a Facebook filter to separate all your notifications emails from your everyday emails. You could also do this for newsletters that you are subscribed to, emails from family members, or emails related to work. It’s also a great tool to automatically trash or mark certain emails as spam. As you can see, there are a lot of advantages for filtering your emails.

So how do you set them up? Well, I am going to show you how to set up email filters in Gmail, Hotmail, and Yahoo, and point you in the right direction on how to set them up in Thunderbird and Outlook.

Creating Filters in Gmail:
The first thing to point out is that Gmail does not use the tradition ‘folder’ structure. Gmail uses ‘labels’, but they are pretty much the same thing, it just has a different name.

To setup an email filter, click on Settings which is in the top right corner, then click on Filters. If you already have filters setup, they will be displayed. As you can see, my first filter sends all my emails apart from Facebook emails to another email account so I can access them on my mobile phone.
The second filter deletes all my Buzz notifications, or anything with Buzz in the subject.



So to create a filter, simply click on Create a new filter.
You will then be prompted to provide criteria to base the filter on. From the image below, you can base the filter on the following search criteria:
•   From: Who the email is from. This can be an email address or a phrase in the email address such as Facebook. If you include Facebook in the From box, all emails that are from a Facebook email address will be applied to the filter.
•   To: You may have email forwarding or POP access set up on your Gmail account so all your work emails get sent to your personal Gmail account. Therefore, if you want to separate your work emails from personal emails, enter your work email address in the To box. All emails you receive that are sent to the email address you specify, the filter will apply.
•   Subject: If you enter a phrase in the Subject, any emails with that phrase in the subject would be apply.
•   Has the words: If the contents of the email has the words you specify, the filter will apply.
•   Doesn’t have: All emails that do not contain the following phrase you specify, the filter will apply.
•   Has attachment: All emails with a file attached.



Depending on what you want to filter depends on what you enter. In this example, I am going to create a filter to to move all my Facebook emails in to a folder/label. To do this, I am going to enter Facebook into the From box. The reason why I am using Facebook and not facebook.com is because not all emails are from the facebook.com domain name, some are from facebookmail.com. So by just typing in Facebook, I will capture all emails from Facebook, including emails from another domain name that has the phrase Facebook in it.

If you want, you can test the search to ensure it works by clicking on Test Search. If you are happy with the results, click Next Step.

Now I am going to tell Gmail what to do with the emails it filters. I am going to select Apply the label: Facebook because I want all my Facebook emails to go into a Facebook label. If you don’t have a Facebook label, make sure you create it when you select the label in the drop down box. Make sure Apply the label is also checked.



Then all you have to do is click on Create Filter. If you want the filter to sort your current emails, make sure you tick the Also apply filter to xx conversations below checkbox.

Congratulations, hope you have successfully created your Gmail filter.

I am happy to inform you that for setting your Outlook Express for gmail account you may follow the mentioned steps.

If you face that still your mail is not downloaded from your gmail account then you may change smtp port 587 instead of 465.

Highlight pop.gmail.com under Tools then Account, and click Properties.
• Click the Advanced tab.
• Fill in the following information:*
•   Check the box next to This server requires a secure connection (SSL) under Outgoing Mail (SMTP).
•   Enter port 587 in the Outgoing mail (SMTP): field.
•   Under Outgoing Mail (SMTP), check the box next to This server requires a secure connection (SSL).
•   Under Incoming mail (POP3), check the box next to This server requires a secure connection (SSL). The port will change to 995.

Greetings! It's a privilege to invite you for the "3rd National Cisco Skills Competition" which is scheduled to be held on August 06, 2010. The 3 winning teams will qualify for participation in the Cisco SAARC NetRiders competition which will be held sometime in late August 2010.
 
Objectives of the Competition:
The general objective of this competition is to develop the skills of the NetAcad students in designing, building, and maintaining computer networks as well as to prepare academy students for the upcoming Cisco SAARC NetRiders competition. This competition will also provide an opportunity for the networking academy students to interact with each other.
 
Venue:
American International University - Bangladesh

Skills and Knowledge to be tested:
Student’s knowledge on CCNA Exploration v 4.0 will be tested.

Team Composition:
Any Student who is currently undergoing the CCNA Course OR Alumni who has completed the CCNA Course within the last 1 Year is eligible to be part of the Competition. Each Student Team can have a maximum of 3 (three) students ONLY.
 
Awards:
•   All participating team members will receive a “Certificate of Participation”.
•   Top 10 (ten) team members will receive a “Certificate of Distinction” and a Crest.
•   Top 3 (three) team will receive a “Certificate of Outstanding Achievement”, Trophy and Cash Prize.

Dear all,
PLEASE FORWARD THIS WARNING AMONG FRIENDS, FAMILY, AND CONTACTS!

You should be alert during the next few days. Do not open any message with an attachment entitled 'POSTCARD FROM HALLMARK,' regardless of who sent it to you. It is a virus which opens A POST CARD IMAGE, which 'burns' the whole Hard Disc C:\ of your computer.
 
This virus will be received from someone who has your e-mail address in his/her contact list. If you receive a mail called' POSTCARD,' even though sent to you by a friend, do not open it! Remove the message immediately. This is the worst virus announced by CNN.
 
It has been classified by Microsoft as the most destructive virus ever. This virus was discovered by McAfee yesterday, and there is no repairing tools yet for this kind of virus. This virus simply destroys the Zero Sector of the Hard Disc, where the vital information is kept.

The second Skill final test already completed April 22, 2010 Thursday at 5 pm to 5.15 pm. The students who did not complete the some requirement yet are requested to complete within May 31, 2010. Maintaining of a UPS:
Proper maintenance of a UPS is critical for its continuous operation. Just like any Computer, Server, router, switch, or air-handling unit in a room, a UPS requires maintenance. There’s always a chance of failure in any man-made device, and if you don’t maintain it properly, that failure can occur at the worst possible moment.

Just like these other devices, a maintenance contract will guarantee that the unit will be repaired within a certain time frame should they fail. Daffodil International University implemented a power system backed by multiple UPS/Generator units, each of which is capable of handling the entire load for our infrastructure.

Some ways you may follow to keep your UPS better:
1.   Always shutdown or power off your UPS after leaving office
2.   It helps the UPS to charge better and backup more time.
3.   Don’t let the computer run on UPS backup more than 5 minutes.
4.   If generator doesn’t get started due to unwanted problem (Within 5 minutes after power failure) please shutdown your computer and turn on again when generator will be started.

I am pleased to inform you that most of the time some user are facing difficulties regarding using their email. This difficulty is happened when any user login first time. When a new user tries to login first time, he/she has to go to the www.daffodilvarsity.edu.bd then click on Official E-mail, if student have to go the the Student Mail. After using user name and password initially he/she has to faces some complexity.

For removing this type of difficulties you may follow the attached file for guideline.
