Dear Software Professionals,

This is Yousuf from HRDI. We have a preparatory workshop today, June 9th, 2009, in Room 306 from 2 - 5. Bismillah!

Hope to InshaAllah see nominated participants there today.

After the workshop, it would be great if you could post your reflections in this forum. Thanks.

In particular, you could write about:

1. Things you learned in the workshop.

This is very nice and helpful workshop. First I thanks to management for arranging this types of workshop. We need to more and regular workshop.

I was a mice ice breaking session for comming workshop. The concept and activities were attractive and enjoyable. I hope with the comming workshop will be more and more effective. Thanks the speaker Dr. Yousuf M Islam for conducting such session.

Dear Workshop Participants,

I would like to thank you all for your active and enthusiastic participation.

As per the decisions taken in the workshop, each of the seven teams will create a template for use in documenting software projects by the Daffodil group. Each section template will be linked by the "Documentation Standard" template. Each person will take the template and produce a document for an existing project.

The templates will be modified after being tested by the participants. After this the templates and webspace will be available for daffodil group members for use in each project.

Since the work involved in preparing the templates and uploading with the help of Uzzal, the next workshop day will be Sunday, June 28th, 2009. Each team, pls be ready to present your template on Sunday morning to the rest of the group.

The workshop is really fantastic especially the delivery style of Dr. Yousuf M. Islam Sir is nice. Hope we will not only learn from this we also can be able to implement in our concern.

Dear Participants,

Thank you all for your enthusiastic participation today.

We took some new decisions today. These are:

1. Work on template:
    a. Reduce titles to essential few.
    b. Prepare examples and samples for the essential titles.
    c. Prepare template using Aslam's example.

2. Submit template by Tuesday (June 30th) by 5pm to Uzzal.
    a. Uzzal will upload templates and arrange in notes.
    b. Uzzal will send link of templates to all by Wednesday (July 1st) 12 noon.
    c. Uzzal will have a space for comments.

3. Review other six templates and send comments.
    a. Input some data into each of the six templates.
    b. Prepare your comments on each template.
    c. Add comments on the use of each template.
    d. Post comments to Uzzal by Thursday July 2nd, 5pm.
    e. Uzzal will send comments to each group by July 2nd, 8pm.

4. Improve template based on comments.
    a. Send improved template to Uzzal by Saturday, July 4th, 5pm.
    b. Uzzal will upload templates by July 4th, 8pm.

5. On Sunday, July 5th, all seven groups will present their templates to the rest of the group starting at 10am.
    a. After the presentations, which will be made directly from the intranet, all groups will upload data into the templates for a case study.
    b. Groups will then give feedback on use of the templates.
    c. Each group will then further improve their templates.
    d. Uzzal will upload the finally integrated template.
    e. Templates will be linked to the overall Document Standard template.

6. On Sunday, we will ask Chairman Sir to give us time to view the templates.
    a. During this time we can talk about the Task Force and its duties.
    b. Duties include Rules, online space, training, etc.

Pls add anything that you wish to my summary above.

Hi Everyone

The methodology followed workshop is really a treat to attend.

Regarding the initiative of enabling the documentation standard through out the organization  require high level of commitment from the management by allocating enough time for documentation and also responsibility of the project manages and System Analysts to create the documents for the projects and role of the programmer is to understand and use the documentation and create their own where applicable.

I hope this initiative will be a successful one.

Hi All

Comments regarding the submitted documents

Group 1
----------

Only the guideline for the documentation standard has been provided. It would be great if if we have any sample technical documentation sample based on the recommended standard by group 1

Group 2
----------

This is my self criticism there are lots of thing can be added with the feasibility document. But I tried to keep the minimum I might have might have missed something obvious.

Group 3
----------

This is my self criticism. In the requirement analysis phase we might need to conduct customer interview. I have not recommended any standard document to capture such. I would recommend everyone to create a sample discussion form to capture customer interview.

Group 4
--------
Documents of group 4 seems to fine with me. We might skip some documents based on the project size.

Group 5
----------
This group has included lots of diagram which seems to be fine. Because I feel it depends of the project type what types of diagram to be used in the documentation for detail design. It is not recommended to use all the diagram but they have kept the provision.

Group 6
----------
I find the user manual bit complicated. Some basis information such as Installation guideline and how to use the system is missing form the documents. It become more or less administrative manual. Sorry folks. The heading that you have presented earlier in the workshop was better.

Group 7
---------

Work of group 7 seems to very intense. But being too practical it would be too hard to maintain all the test documents for the development team. I would recommend you suggest 1-2 documents to complete the test works. I feel it would be good if we could really complete all the forms.


I have already mentioned to make the documentation system workable we need to conduct training session for each of the documentation type and train the project managers and System Analyst to prepare the documentation for the development teams and programmers will be responsible for using and fill in the documentation. e.g. test scripts and test case should be generate by team leaders and test date and result should be filled up by the programmers.

I would like add further with my earlier post on the submitted documentation template

I am currently working with a CRM where I have integrated the project management system. By using the system you will be able to

Create a project. You will be able to create the project tasks and follow up and monitor the project activities.

I would be glad to share the system with you once the CRM project is on rolling. The only thing that you may do is to create the Gannt chart for the project.

You will also be able to write the meeting agenda with the system. This system will give you reminder and project managers can easily follow up with the project activities.

Dear Workshop Participants,

Thank you for participating and making the workshop a success. The ultimate success will depend on whether the templates developed are actually used to develop and prepare documentation.

As part of the workshop, the following templates were developed by the 7 groups as shown below:

Group:
 1. Documentation Standard
 2. User Requirements
 3. Feasibility
 4. Project Management
 5. Detail Design
 6. User Manual
 7. Testing

The groups will give Uzzal the final templates on July 15th, 2009. Group 7 will give their template on the 19th of July, 2009.

The participants of the workshop would like further workshops to help develop their document skills. These workshops are:
1. Project Management by Nuruzzaman & Shamsuddin, July 23rd, 10am - 1pm, Prometric Lab
2. Testing by Rashed Karim & Farhad, August 5th, 10am - 6pm, 306
3. Excel Application Development by Yousuf M Islam & Monjur, July 29th, 10am - 5pm, 306, Lab 201

The participants are now preparing a demo to present the results of the workshop to Chairman Sir, on July 26th, 2:30pm, 306.

The participants would like to implement documentation across the Group and would like to discuss the following:
* Job responsibilities
* Standard practices
* Project Cycle Sequence and Gaps.
